Terms and condition on sales of products

These terms and conditions set out the basis upon which you can visit our website and regulate how you can order and buy goods from our company online.

By using our website, and when you purchase a product from us, you accept that you have read and understood and agree to comply with these terms and conditions, which include our privacy notice.

If you disagree with any part of these terms and conditions, please do not use our website or make any order from us.

Buying terms

ACCOUNTS

If you want to order anything from us you must create an Account.

When you create an Account you promise that:

  • All information you give us is accurate and truthful.
  • You will keep this information accurate and up-to-date.
  • You will not share your Account with anyone else.
  • You will keep your Account details confidential.
  • You will not give your username or password to anyone else.
  • You must log off when you exit the Account.

If we send a payment to your bank account and it is refused and you do not supply us with an alternative bank account within 28 days of us asking you, we may keep the monies in that account to offset the expenses we have incurred and you will be entitled to nothing.

If you do anything which we think might be fraud, we may report those actions to the Police and we may keep any balance shown in your Account to cover the costs we are put to in dealing with your fraud.

PRODUCTS

 We do not offer any medical advice, on the Site or otherwise. Any advice we offer on the Site is general in manner and must be verified by a health care professional. You agree not to use any Product until you have taken reasonable precautions that it will not cause you harm.

Before you use any Products you must comply with all instructions offered with that Product.

The use of syringes, needles or threads is dangerous. Unless you have prior experience in using them, we strongly suggest that you consult a professional properly qualified to use such equipment.

All Product images on the Site are for illustration only and we cannot guarantee that the packaging shown will be what you receive, nor that any colours shown on your screen will be identical to those we upload.

All our machines and devices have 1 year guarantee from date of purchase, the guarantee will apply only on manufacture errors not on customer damages.

ORDER AND PAYMENT

If, for any reason, we cannot supply the Product you have ordered, even after we have accepted your order, as long as we refund all money you have paid us, we will have no further liability to you.

You will own the Product as soon as we have received payment for it in full.

If we reject your order, we will refund all monies you have paid us, using the method you used to pay us, within 14 days of such rejection.

BANK CARD NUMBERS

We will not retain any information relating to your bank or credit cards except the information that you give to us so that we can credit your bank account.

Our payment gateways may retain information relating to your bank and credit cards, so that they can provide their payment service.

DELIVERY

We cannot guarantee that any delivery time quoted will be met and we will not be liable for any delay which may occur.

Delivery will only be made when we have received payment in full from you.

We can deliver only to the address, and in the manner, you have specified when ordering and you may collect the Product from our premises by prior appointment.

If we offer free delivery on any Product; delivery will be by the method we choose.

We will do our best to comply with any delivery instructions you specify but cannot guarantee to do so and we will have no liability if we do not comply with them. If you have any such instructions, they must be clearly displayed in your order and emailed to us.

CANCELATIONS AND RETURNS

We are unable to accept returns, unless deemed faulty, incorrect or not fit for purpose. Once products have left our supply chain, we are unable to assure products are of acceptable quality and have been stored as per manufacturer’s advice. In the interests of patient safety, returned products cannot be re-sold. We are unable to accept returns for products that have been opened and utilised. Apologies for any inconvenience caused.

If you receive a Product which:

  • is of unsatisfactory quality; or
  • is not fit for its purpose; or
  • does not match the description of the Product that you ordered from us

you must tell us, by emailing us, as soon as possible and within 24 hours of delivery to arrange for its return. We may ask for photographic evidence of any issue, and the Product must not be returned until you have heard from us. Incorrect goods must be returned unopened in the original packaging within 5 days of receipt of order. We will pay the reasonable return shipment costs.

We strongly advise all customers pay an additional delivery insurance fee to insure their product(s) whilst in transit. Optional shipping insurance will be available to all customers at checkout. Please note that by choosing not to insure your product, you will be responsible for any delivery damages, faults and/or losses. Insurance fees are non-refundable.

All returns should be sent to the address we specify when we acknowledge your request – we are happy to arrange carriage (at your cost).

COMPLAINTS AND DISPUTES

In the unlikely event that you wish to make a complaint about any product or service we offer, please contact us. You must tell us in writing within 14 days of the problem arising, by giving us full details of your dispute or claim.

If the issue cannot be resolved within 60 days of your initial notification, we each agree to attempt to settle it through mediation in accordance with the Centre for Effective Dispute Resolution Model (“CEDR”) Mediation Procedure.

Unless otherwise agreed between you and us, the mediator will be selected by CEDR.

To start the mediation, either party must give the other written notice (“ADR Notice”) requesting the mediation. A copy of the request should be sent to CEDR.

The mediation will start not less than 60 days from the date of the provision of the ADR written notice.

You and we both, irrevocably, agree that neither you nor we may commence any court proceedings in relation to any dispute arising out of any matter relating to these Terms until we have first attempted to settle the dispute by mediation and either the mediation has been terminated or the other party has failed to participate in the mediation for a period of not less than 30 days from the date of the commencement of the mediation.

Terms & Conditions policies Beauty Courses

Payments

Payment is required in full at the time of booking, with the exception of flexible payment options through  Klarna.

Please note we reserve the right to amend course prices or run promotions at any time, without prior notice. Once a booking is made, the price paid is final and no price difference can be refunded in the event of a later course price reduction.

Training must be taken within 6 months of the date of booking and online courses must be completed within a maximum of 12 months from date of booking.

Refunds

All course fees are strictly non-refundable and non-transferable. Beauty Kingdom Academy is unable to offer refunds for cancellations outside of our control, i.e. adverse weather conditions, terrorist attacks, flooding, industrial action or Visa refusals. An alternative training date will be offered.  Classroom course bookings postponed previously by lockdown remain non-refundable but will be valid to rebook for a scheduled training date convenient to the student, within 6 months from the date of the original course date. It is the student’s responsibility to get in touch to reschedule any such postponed training. The Academy is not responsible for any loss of income, accommodation/travelling costs students may incur due to the cancellation of courses.

Additional Terms & Conditions Relating to Course Packages & Promotional Offers

  • Discount will be on stated packages only. Any saving stated refers to the saving made against the full, standard individual course fees for the courses included within that package or the usual course package price itself. Discounted packages cannot have any further discount applied.
  • Courses within the Packages must be attended by the same person.
  • Courses within the Packages cannot be changed or substituted with any other courses, only the specified courses will be provided.
  • We reserve the right to amend course prices or run promotions at any time, without prior notice. We cannot retrospectively apply discounts to booked courses.
  • All courses booked as part of the Package deals are non-refundable and non-transferable under any circumstances.
  • Dates must be selected at time of booking. Training dates are subject to availability at preferred training centre & places are not confirmed until your booking has been processed by our team. All training booked as part of a package must be taken within 6 months of date of booking the package.

Cancellation or Transfer of Training Dates / Courses

Rescheduling Requests & Fees

In the event that you are unable to attend a booked and confirmed training date, we may be able to offer a reschedule of the training (subject to availability), provided you contact us no later than 3 days prior to the training course date by email to our Bookings team. Where it is possible to offer a reschedule of training. We operate a ‘fair use’ policy for rescheduling and all courses can only be rescheduled on one occasion. Our team will respond to confirm whether a reschedule is possible and where it is not possible and the student chooses not to attend their training, you may forfeit your course fee.

Where a student is a ‘no show’, failing to attend for their booked training date without a minimum of 3 day’s notice by email to our Bookings team, you will automatically forfeit your course fee and Beauty Kingdom Academy will be under no obligation to provide any further training or any refund.

Courses booked as part of discounted ‘last minute offers’ will be strictly non-refundable and non-transferable. These are discounted specifically for attendance on the booked course/date/venue by their very nature and so this price does not transfer to other courses. If you need to reschedule for a genuine reason (medical or compassionate), we may at our discretion, place the course fee paid minus a rescheduling fee, as credit on file valid for 6 months towards booking courses. Any applicable price difference would need to be paid when redeeming the credit on file to book further courses.

The only exceptions to the above, where a reschedule may be offered free of charge or at a cost of £50 per day (depending on reason), on one further occasion only and subject to availability will be in the event of:

  • medical reasons (with a valid medical certificate covering named student/training date),
  • compassionate reasons (proof of which may be required) for non-attendance,
  • needing to Covid test (PCR) or self-isolate; (with an official NHS text or email notification confirming a booked PCR test, positive PCR test result or NHS Test & Trace notification requiring self-isolation for the named student and dated to coincide with the booked course date).

In the first instance, please contact our team at info@beautykingdomacademy.co.uk regarding your reschedule request (or non-attendance), who will respond within 24 working hours.

In the event that Beauty Kingdom Academy should have to cancel your course for reasons outside of our control; Beauty Kingdom Academy  will endeavor to give students at least 24 hours’ notice of any cancellation by telephone and/or email. The Academy is not responsible for any accommodation/travelling costs students may incur due to the cancellation of courses. All courses required to be cancelled/postponed by Beauty Kingdom Academy will be rescheduled for a further course date within 6 months of the original booked course date. Such courses remain non-refundable but may be transferred to alternative courses if desired, to the same value.

Online Courses

All online courses are strictly non-refundable as we incur a registration fee for the online student portal for all online courses which we remain liable to cover regardless of whether the course is accessed and/or completed. Please ensure online courses meet your training needs, you have a suitable device connected to the internet through which to access the course/portal and are able to source the products/tools/models you require to complete the necessary case studies to pass the course. We may consider transferring students to one of our other online courses to the same value as goodwill, where a course is found to be unsuitable for an individual student; although this may be subject to an additional registration fee. Students are given 8 weeks initial access to our online portal, which can be extended by request to our Support team. Maximum duration for completing online courses is 12 months from date of booking.

Named Student

Booked training is non-transferable to an alternative student. Please ensure the booking is made giving the correct name of the person attending the course at the time of making payment. Amendments to this will be chargeable at £50 per course date/person, where possible for a change to be accommodated and a minimum of 48 hours’ notice prior to the course date is required, in writing.

General

All practical training must be completed within 6 months of booking your course, unless otherwise agreed in writing at the time of booking. Should you fail to attend your original training dates for any reason and the course later be retired or amended in content, no refund or difference in courses fees will be offered. You may however, look to use the course fees on file as a credit towards payment for an alternative course of your choosing within 6 months of the original date of booking. Students who fail to book, attend or reschedule training within 6 months of enrolling upon their course (taken from date of making first payment) will forfeit any course fees paid. We cannot offer any refunds, credits or substitute training in such circumstances. For gift vouchers, these will expire on the date given on the voucher itself and cannot be extended or redeemed beyond this date. Any fees paid for gift vouchers would be forfeit after the voucher expiry date.

Minimum Student Age

We accept all students aged 16 years or over for our face to face training courses. With regret due to insurance reasons, we are unable to accept students aged under 16 years on the day of training for face to face courses, however online courses are open to those of any age as no attendance of our centres is required. Please note most insurers will only provide public liability (beauty therapist) insurance for working with the general public to those aged 18 or over, although some selected companies will accept those aged 16 or over.

Course Times

Please arrive at the training centre for 9.45am for a 10.00am start. Courses finish at approximately 4.00pm. (Unless other start/end times specified in your confirmation email). A short break for lunch is provided for full day courses during which we recommend students remain within the training centre (please bring cold food with you). If you arrive late in the morning or when returning from agreed breaks, you will be refused entry to the training. This is to avoid disruption for other students on the course and ensure you cover all course content/required hours to be successful in achieving Beauty Kingdom Academy diploma for the course.

In the event that you are late arriving in the morning and refused entry, please contact our Bookings Team to reschedule by emailing info@beautykingdomacademy.co.uk– Please note a fee of £50 will apply to reschedule your training. If late returning from breaks you will be unable to complete your course and will forfeit course fees.

All students must attend the full training day until 4pm. Should you choose or need to leave a course before the approximate end time of 4pm, please contact us prior to the course to discuss this. If you leave before the end of the course on the day, without prior agreement, you will forfeit any course fees and may not achieve your diploma.

Confirmation of Bookings

Once you have booked a training course you will receive an email within 24 working hours to confirm the booking.

If booking a course online, please note that your booking is not confirmed until a Confirmation Email has been sent by our Booking Team to acknowledge your booking. The online payment receipt does not form a guaranteed or confirmed booking.

If booking last minute courses or courses scheduled for within less than 48 hours, we recommend you call to book so that we can confirm availability to you prior to payment.  Where booking online less than 24 hours prior to a scheduled course date, please call us at 9.00am on the day of the training to confirm your booking has been received and chosen training is available. Where a course booked online outside office hours is unavailable or cancelled, we will reschedule your training to the next available date where possible or refund your course fee. No reimbursement will be made for travel/accommodation/childcare costs for cancelled/unavailable courses booked at last minute online.

VTCT Qualifications

Once booked, you have 12 months to fully complete the qualification including training, coursework and assessments from the date of booking. You would be unable to complete or resume any studies, outside of this period. All course fees are non-refundable and remain applicable even in the event that you do not achieve the qualification.

It is important students keep their knowledge and practical skills up to date by refreshing their knowledge using their training notes and continuing to practice their treatments ready for assessment days. Additional fees will apply should you require further training at a later stage, beyond your initial training days. You should ensure you revise and prepare thoroughly ready for assessments using the learning resources provided to you.

Qualification Certificates

Your Qualification certificate will be claimed from the awarding body (VTCT) only once you have successfully completed your final day of practical assessment and have been confirmed as fully complete. Certificates can take up to 12 weeks to be issued by the awarding body. Once received, you will be notified and asked to confirm the full address where you wish your certificate to be posted. Certificates are sent by 1st class recorded post so must be signed for upon delivery. Qualification certificates can only be issued in the name given at the time of submitting your Assessment Request Form when booking onto your assessment days. A fee will apply to rectify any errors beyond submission of the Assessment Request Form. y.

Complaints

We are keen to ensure all students gain the most from their training experience. In the first instance, please raise any difficulties or concerns with the tutor on the training day(s) as most issues can quickly be rectified at the time. However, in the unlikely event your training course with us does not meet your expectations and you feel unable to raise this with the tutor on the training day, please email info@beautykingdomacademy.co.uk with the details of your feedback or complaint. This email must be received in writing within 5 days of your training course. We take all feedback and complaints very seriously and this will be investigated as required. You will receive a response in writing within 5 working days.

FAIR ASSESSMENT POLICY

This Assessment Policy is based on the concepts of equality, diversity, transparency, reliability and honesty.

Beauty Kingdom Academy work hard to ensure that all our assessment processes are fair and non-discriminatory.

Both students and trainers are made aware of the existence of this Policy, of its content and the purpose. 

Students can access the Policy upon request. This Policy can be made available on paper or shared electronically via email. 

This Policy is a subject to change. It is reviewed on an ongoing basis and amended based on any feedback collected from students, trainers and external organisations.

Beauty Kingdom Academy responsibilities: 

  • Every student taking VCTC or CPD training with Beauty Kingdom Academy will be assessed fairly.
  • Our assessments are standardised across different trainers because we aim to ensure that all our students undertaking same qualifications are judged against the same criteria.
  • It is our responsibility to ensure that learning outcomes and assessment criteria are explained and made clear at the beginning of the training and when assessing. 
  • All student work will be assessed fairly, and constructive feedback will be provided. 
  • Work will be marked as soon as possible. 
  • Students will gain desired accreditation on a successful completion of their training course. 
  • Beauty Kingdom Academy will ensure that no student or trainer is subject to malpractice monitoring. If trainers are suspicious of malpractice by students, they will be removed from the training at their own liability. See our Malpractice Policy for further information. A copy is available upon your request. 

Student responsibilities: 

  • Students are expected to meet all deadlines for course work, including assignments.
  • Students will be given the timescale for completing their assessment criteria and they are expected to meet them. 
  • Student must submit their own work. Work that is not completely their own will be regarded as cheating or plagiarism, unless it is a joint project. See our Malpractice and Plagiarism Policy for further information. A copy can be provided upon request. 
  • Work submitted must not include any discriminatory or divisive language otherwise student will be removed for the training. See our Equality Opportunities and Diversity Policy for further information. A copy can be provided upon request. 
  • Should you be ware of or expect any period of absence, Beauty Academy Kingdom must be informed accordingly. Please refer to our Terms and Conditions for further information. 

If student fail to meet above stated responsibilities, then the Trainer will:

  • Discuss this with the student
  • If no expected outcome is achieved, then the student will be removed from the training at their own cost. 

If a student feels that they have not been assessed fairly then they should refer to the Appeals or Complaints Policy to appeal against the assessment decision. A copy is available upon your request.

APPEALS POLICY

Every student has the right of appeal against a decision made by Beauty Kingdom Academy. Be informed that your appeal will be dealt with in accordance with the procedure below. 

It the first instance you must introduce and discuss your dissatisfaction with your trainer. If the result of this discussion does not meet your requirements, then you may submit a formal appeal. The formal appeal must be made in writing and emailed to info@beautykingdomacademy.co.uk within 7 days of the assessment decision.

When appealing please provide below information:

  • Student Name
  • Student Contact Details 
  • Enrolment Number 
  • Training Title and Level 
  • Reasons for Appeal 
  • Detail of Appeal 
  • Outcome of Decisions 
  • Reasons 

Your appeal will be then re-assessed and based on the evidence and review of the outcome you will be provided as a written statement within 5 days of the receipt of the appeal. 

Should you still be dissatisfied with the Trainer’s decision then you may wish to deal with the Internal Quality Assurer. 

In the first instance you will be contacted by the Internal Quality Assurer who will look into the evidence, examine all documentation and may interview you to gather further information. Within 14 days you will be provided a written judgement on the appeal. 

Should you still be unhappy about the decision, Beauty Kingdom Academy will appoint a third-party professional, either another Internal Quality Assurer or a similar experienced professional, to review the evidence and all documents, and provide a statement of the appeal. 

If you remain dissatisfied with the decision, Beauty Kingdom Academy will refer your case to the Award Body Quality Team and provide details of the External Verifier.

COMPLAINTS POLICY

Beauty Kingdom Academy views your comments and complaints positively as we believe that any feedback received from you helps us improve our services. 

We promise that:

  • Complaints received in writing by us will be acknowledged to you and will be dealt with fairly and swiftly.
  • You will not be discriminated against in any way as a consequence of communicating your dissatisfaction or bringing your comment.

Phases of our complaint process:

PHASE 1 – Complaint will be acknowledged within 7 days

Should you be unhappy with our decision, you have the right to appeal against it. Please refer to our Appeals Policy for more information about the procedure. A copy of the Policy is available upon request.

Monitoring and Evaluation: 

Beauty Kingdom Academy will gather Information from a variety of sources, which can include: 

  • Student and trainer feedback (including questionnaire) 
  • Feedback from partners and external bodies (including quality audits)
  • Testimonials received via email, text or provided on our Facebook and Google account etc
  • Outcomes of any previous complaints
  • Reports or guidelines provided by the Government institutions on equal opportunities and diversity 

This policy is reviewed on an ongoing basis and can be viewed upon your request.

MALPRACTICE AND PLAGIARISM POLICY

1.0 MALPRACTICE

Beauty Kingdom Academy defines malpractice as the intentional misrepresentation of records and/or using unfair methods/processes during assessment or examination in order to obtain a qualification and/or certificate. 

Examples of malpractice may include but are not limited to: 

  • Providing false information 
  • Claiming certification for non-active learners or for students who have not undergone appropriate assessment
  • Claiming certification for incorrect qualifications or levels. 

1.1 REPORTING MALPRACTICE:

Our trainers and students of Beauty Kingdom Academy are strongly encouraged to report any suspicion of malpractice to the Training Provider. Beauty Kingdom Academy will investigate the case. 

The student who is investigated upon will be suspended from a further training until further notice. The committee will be formed, and the procedure will be as follows:

Stage 1. the origin of the complaint 

Stage 2. the investigation

Stage 3. the evidence 

Stage 4. the conclusion 

Stage 5. the recommendations for action 

Stage 6. The resolution of the matter. 

Qualifications will be made invalid and student will be removed from a further training and their own liability if the evidence assessed shows that:

  • it is not the student’s work
  • student is providing false information 
  • student is working towards incorrect levels or qualifications etc

Beauty Kingdom Academy promises to:

  1. protect the interest of student, as much as possible in the circumstances
  2. contact the student involved and notify them of the status and/or outcome of the investigation 
  3. ensure that the original certificates are invalidated and record is kept on the database, and the awarding bodies are informed of the details of the invalidated certificates so that duplicates cannot be issued.

2.0 PLAGIARISM:

Beauty Kingdom Academy defines plagiarism as: 

  • taking someone else’s work (including text, ideas and images) and passing then off as your own, without acknowledging the original source
  • knowingly allowing other students to copy one’s own work.

2.1 PROCEDURE:

Stage 1. 

Verbal communication – the Trainer who initially suspects that plagiarism, will in the first instance verbally communicate this to the student.

Stage 2. 

Evidence – if no satisfactorily outcome is achieved, the trainer is responsible to inform other trainer within Beauty Kingdom Academy, providing details (evidence) of what has been discussed in Stage 1.

Stage 3. 

Investigation – the committee will be formed and investigate the situation and decide a course of action. This may include seeking guidance from the awarding body and may result in the student being removed from further training at their own liability. 

Beauty Kingdom Academy will document all stages of the investigation and inform the student of outcomes accordingly. 

The student is entitled to appeal against the final decision (please refer to the Appeals Policy for more information which can be viewed upon request).

Health and Safety Policy

Beauty Kingdom Academy is committed to meeting its responsibilities to all students in relation to Health and Safety. 

Beauty Kingdom Academy aims to provide a Safe and Healthy learning environment. We conduct regular quality checks of our training rooms, learning equipment and other facilities. It is our priority that our students are Health and Safety monitored by the training team throughout the period of their training. 

In order to enable us to create the best way to support you to achieve success in gaining your award in a safe and healthy learning environment you are also responsible for the Health and Safety of yourself and people around you. 

If at any time during your training you experience any of the changes listed below, you are responsible to communicate this to your Trainer who will support you as required:

  • Ongoing health/medical condition that affects you
  • Any accidents/incidents involving you
  • Change of existing equipment or introduction of new equipment that you are unaware and that you will be expected to use
  • Changes in personal protective equipment
  • Change in fire and emergency procedures
  • Anything else that relates to Health and Safety not stated above. 

If you have any issues concerning Health and Safety in the training environment, you must discuss this in the first instance with your Trainer.

Terms relating to Course Packages & Promotional Offers

T&Cs: 

  • Payment in full must be made at time of booking.
  • Discount is on selected packages only. Saving stated refers to the saving made against the full, standard individual course fees for the courses included within that package or the usual course package price itself.
  • Courses within the Packages must be attended by the same person
  • Courses within the Packages cannot be changed or substituted with any other courses, only the specified courses will be provided.
  • Cannot be used in conjunction with any other offer or discount.
  • We reserve the right to amend course prices or run promotions at any time, without prior notice.
  • All courses booked as part of the Package deals are non-refundable and non-transferable under any circumstances. Any reschedules of dates will be at the discretion of Beauty Kingdom Academy and subject to the rescheduling fee of £25 per training date, where deemed possible.
  • Dates must be selected at time of booking. Training dates are subject to availability at preferred training centre & places are not confirmed until your booking has been processed by our team. All training booked as part of a package must be taken within 6 months of date of booking the package.
